Would you like to be involved in a major conference? Volunteer and have a lot of fun! It takes a team of great people to make a successful conference and we can always use more people like you to make this happen. Yes, volunteering means commitment and work, but also pleasure from assisting others and making long lasting friendships. You will discover that in helping others, you did make a difference.
When you sign up for a management committee, please be advised that there is a fair amount of time required to participate in the planning and organizing of the conference. There are many meetings and activities that need to take place long before the conference opens. Together we can make this a spectacular and even life-changing event! Hopefully, it will continue for as long as there is a need for this sort of activity in our community.
Positions for Volunteers at the Empire Conference
Management Committee Positions
Activities: This is the largest and most active management committee as it produces all of the non-educational events at the conference. It will identify, contact and recommend local activities such as sightseeing, restaurant, nightclubs, and shopping tours, special events both during and before the conference, and other events that would be of interest to the attendees. It also plans and implements all of the entertainment programs for Thursday, Friday and Saturday evenings.
Media/Advertising/Promotion: This committee develops and implements all the promotion materials used in both print and electronic form. It also works with local media outlets such as newspapers, radio and television as well as any other trans-friendly support groups to promote the conference. At the conference, it is responsible for escorting any members of the media covering our activities to insure that proper etiquette is followed and that coverage will be proper. This needs pre-conference work as well as on-site conference effort. Can be one person or two co-chairs.
Program: This committee works with the Program Chair to develop participation of health care professionals, community leaders, community friends and noted speakers both local and international, to present workshops or plenary sessions appropriate to the transgender community. This include programs structured for cross dressers, MtF, FtM, trans youth; as well as political or social presentations of interest to our community. To be included in the program, each proposed presenter must complete a program proposal that will be listed on our website. Committee members are needed during the conference to assist special guest speakers, check session participation and assure that the program flows smoothly.
Administration: This committee performs all necessary administrative duties both before and during the conference. Some before-conference tasks: answering inquiries, mailing flyers, stuffing envelopes, data entry (before and at the conference), registration and many other duties as may be required. Members of this committee should be computer literate. This needs several volunteers for pre-conference work as well as work on-site conference handling registrations. Can be several persons. The Conference Manager serves as Chair of this activity.
Vendors: This person works with the Conference Manager, and is responsible for contacting prospective vendors, obtaining completed vendor applications (including payment) and can assist the program committee if a vendor desires to be a presenter. The Vendor Committee develops and maintains the plan showing the layout of spaces for paying vendors as well as non-profit information tables. On-site, the coordinator helps with location assignment, set-up, and vendor relations.
On-Site Committee
There are many activities that a volunteer can be involved in at the conference. Some possibilities are: Pre-Registration check in, Hospitality, Room host/hostess, Activities, Audio/Visual and Security. Please tell us what position you would like to fill and the days and times you will be available.
Benefits of being a Volunteer
Certain benefits for actively participating on various committees may be available. These are based on the amount of time that you put in with each committee. When you devote at least 50 hours of time working on a committee, you will receive a complementary conference. If you serve on an on-site committee, such as registration, you will receive a complementary luncheon on the day you work. There are other benefits, corresponding with the amount of time and effort that you contribute, that will be awarded on an individual basis.
